Sim senders & key staff

A phishing simulation is only convincing if it looks like it came from someone real. The Staff page is where you tell TSNC who your simulations can appear to be From โ€” your principal, your IT contact, the parish office โ€” so a test email reads like the real thing instead of a generic placeholder.

Three kinds of sender, one page

Everyone a simulation can impersonate is managed in one place โ€” the Staff page (๐Ÿ‘ฅ in the left nav). There are three sources:

  • Your roster โ€” the real staff who have TSNC logins. Their names are already available as senders.
  • Key Staff Names โ€” five leadership roles that show up constantly in real phishing (the principal, the faith leader, the business manager, IT, and the front office), whether or not those people have a TSNC login.
  • Reference Contacts & Shared Mailboxes โ€” anyone else a sim should be able to come from: a pastor who never logs in, a shared office@school.org mailbox, a frequent vendor contact.

Why bother filling these in?
A simulation that says "From: The Principal" is easy to shrug off. One that uses your actual principal's name lands like a real message โ€” which is exactly the muscle you want staff to build. Any name you leave blank simply falls back to a generic placeholder, so nothing breaks if you skip it; you just get less realistic tests.

Key Staff Names

The ๐Ÿ‘ค Key Staff Names card has five fixed slots. Each takes a title and a name; the Principal and IT Contact slots also accept an optional email.

  • Principal / Head of School
  • Pastor / Faith Leader
  • Business Manager
  • IT Contact
  • Front Office / Secretary

Fill in the ones that apply and click Save key staff. These names also flow into your simulation content โ€” a template that greets staff "from the principal" will use the real name you set here.

It won't overwrite good data by accident
If the card can't load your existing names (a network blip), it shows a Retrybutton instead of a blank form โ€” so an empty save can never wipe the real names you already entered. And if you type an invalid email, the card saves the names and titles anyway and just tells you which email it skipped.

Reference Contacts & Shared Mailboxes

The ๐ŸŽญ Reference Contacts & Shared Mailboxes card is for senders who aren't on your roster and aren't one of the five key roles. Click + Add contact and fill in:

  • Name or mailbox label (required) โ€” a person's name, or a label like "School Office."
  • Nickname (optional) โ€” e.g. "Mike" for Michael. When set, it's preferred over the formal first name for extra realism.
  • Title, Email (both optional).
  • Role โ€” which staff role this sender stands in for. Leave it โ€” unassigned โ€” and the contact is saved but never used as a sim sender.
  • "This is a shared / group mailbox" โ€” tick it for addresses like office@ or hr@; they get a "shared mailbox" badge in the list.

The email here isn't the From address
A reference contact's email is just for your records โ€” it is not the address a simulation actually sends from. TSNC always sends simulations from its own look-alike sending domains (that's what makes them safe and trackable); the reference contact only supplies the display name.

The "roles still need someone assigned" banner

If an enabled staff role has nobody who can play it โ€” no roster member and no reference contact โ€” you'll see a banner: "N staff roles still need someone assigned before simulations can impersonate them." It appears both on your Admin Dashboard (with a link here) and on the Staff page itself.

Either source clears it
A role counts as covered if either a real staff member or a reference contact carries it โ€” you don't have to add a reference contact if a login-holding staffer already fills the role. The banner is fail-safe: it shows nothing when everything's covered, so its absence is a good sign (not proof, if a status check failed).

Who can set this up

Org admins โ€” Principals and IT Admins โ€” manage their own org's senders. Enterprise (diocese / district) admins can also set up a member school's Key Staff and Reference Contacts on that school's behalf, which is handy during onboarding.

FAQ

What's the difference between a staff member and a reference contact?+
A staff member has a TSNC login and receives simulations and training. A reference contact has no login โ€” it exists only so a simulation can appear to come from them (a pastor who isn't online, a shared office mailbox). Add real people who use TSNC as staff; add name-only senders as reference contacts.
Do I have to fill in every Key Staff slot?+
No. Any slot you leave blank falls back to a generic sender name. Filling them in just makes your simulations more realistic โ€” a test "from the principal" using the real name is far more convincing than a placeholder.
Will the reference contact's email be used to send the simulation?+
No. Simulations always send from TSNC's own look-alike domains so they stay safe and trackable. The reference contact's name is used as the display sender; its email field is just for your records.
Can I bulk-import reference contacts from a spreadsheet?+
Not yet โ€” reference contacts are added one at a time on the Staff page. For most schools the list is short (a pastor, a couple of shared mailboxes, a vendor or two).
Can I add a sixth key-staff role?+
The Key Staff Names card is a fixed set of five leadership slots. For any additional named sender, use Reference Contacts & Shared Mailboxes โ€” there's no limit there.
When do changes take effect?+
Immediately โ€” there's no publish step. The next simulation composed for your org reads the current names straight from your settings.
